BOARD MEETING MINUTES
Date: | February 5th, 2012 |
Time: | 7:00 pm (MST) |
Location: | Doug Livingston’s home 2959 North 250 West Lehi, UT 84043 |
Opening: Steve
- Invocation: Dana Rogers
Chairman's Business: Stephen
- Stephen welcomed everyone and gave a thought about how the Holy Ghost prompts us and helps us learn. He mentioned a book by Elder David A. Bednar, “Increase in Learning”, and said the following scripture will help us as a family. He quoted John 14:26:
- “But the Comforter, which is the Holy Ghost, whom the Father will send in my name, he shall teach you all things, and bring all things to your remembrance, whatsoever I have said unto you.”
- Mary Ann reviewed the LFA Board Meeting minutes for the September 30th, 2011 and indicated she was not comfortable using Google docs but felt more comfortable using Microsoft Word and attaching the minutes to emails for the board to read and approve. It was decided that would be okay.
- Doug (Lewis’ son) had some difficulties come up and couldn’t make it. We phoned and he asked that we go ahead and plan the reunion and that he would help. He suggested his immediate family could do breakfast or dinner at the reunion, barbequed lamb dinner.
- Dennis suggested that his daughter, Diedre, would be a good person to have on the board. She lives in Provo.
- We still haven’t found a website director. Stephen suggested that perhaps one of his brother’s might be able to do it. However, he is going through some difficult times right now and it would have to be at a later time. Doug (Ron’s son) mentioned he had talked to Ross Livingston (the current website director) and he said he was fine with things as they are.
Treasurer's Report: Enid
- Financial Report
- Checking Account Balance: $2,064.80
- Savings Account Balance: $3,436.76
- There are 9 cabins and 14 beds reserved at Heber Valley Camp. All were originally paid for from LFA funds. We still have 5 open reservations. Each cabin sleeps 16 people.
Research Director’s Report: Doug (Ron’s son)
- During the last meeting, the Board voted to sponsor a 111-marker DNA test for Bill Livingstone in Scotland. The kit was arranged for and sent to Bill. He graciously cooperated and sent the kit back to the testing facility (Family Tree DNA). The results of Bill’s DNA testing shows that he is a match to the 67-marker test Doug’s father, Ron Livingston had previously completed. This was good news! This test fit into the “Boggs Series”, a category that already has 10 or 11 respondents. Ross Livingston has also completed a 67-marker test. Ross and Ron’s test differ on 2 markers. While possible, that kind of mutation is unexpected. This was discussed briefly with Ross and he may as Family Tree DNA to take a second look at his results.
- Doug mentioned that he had some news about the map purchase approved during the last board meeting. Bill Livingstone mentioned a book written by a friend, Dr. Thomas Hunter, about mining in western Fife called, "Mining in West Fife, the Crossgates Area, in Particular the Fordell and Halbeath Collieries". Dr. Hunter grew up in the Fordell area. He is now a retired professor dealing with nuclear chemistry and lives in England. His book is out of print, but he was kind enough to send a digital copy. There are some maps in the book but they are not very clear. Doug still feels we may need to purchase maps but not until after he has read and studied the book’s information. This history is directly related to “our people” and it is exciting to know that someone has already researched the mines and people who worked them.
Archive Director’s Report: Dennis
- Dennis suggested, as did Steve and the rest of the board, that there were pictures and other memorabilia that should be added to the information about the Livingston family at the Church History Library. As of right now, the only information about the family is some writings by William Kuhre. The Church History Library (CHL) could digitize the information that is in the possession of family members, thus making the information available to the whole family and preserve it their archive storage so it wouldn’t be destroyed in case of natural disaster or fire, or whatever. This information could be put on the LFAWiki. Mary Ann mentioned that her husband had given pictures and journals to the CHL for safe keeping. They had made a digital copy of everything for the family and then had kept the information in a box with his grandfather’s name on it that the whole family could have access to. This is a perfect way to store family treasures.
- Dennis has been working with “Find-a-Grave”, a free website. He has found many pictures of family gravesites and has found a woman who is looking for Livingston grave markers in the Salt Lake City Cemetery and is taking pictures of them and sending them to him through Find-a-Grave. He said there are a lot of nice people out there helping each other and that he would continue to work on it.
Membership Director’s Report: Dana
- Dana discussed what was planned for the newsletter. She felt we needed to make it more concise. The last newsletter was 10 pages long and it was discussed that it should be no more than 6 pages. The newsletter needs to be long enough to interest everyone but not bore them. It was also discussed that we should encourage more family members to receive the newsletter via email rather than “snail mail”.
- Newsletter planning:
- The first page will contain a reminder of the reunion – Steve will write it complete with pictures of Heber Valley Camp and information to make family members want to participate.
- Karolyn Hall will write an article about the importance of making sure our family organization survives. The board felt we are getting away from the original purpose of the family association and we need to preserve it and make sure it doesn’t fail. We need the support of everyone in the family.
- For the history, a history of Annie Livingston would be very appropriate. Lorraine Misener should be the person to write it as she has Annie’s picture and her history that was in the box of pictures she got from her father after his passing.
- Another item for the newsletter would be to suggest that family members consider preserving their family treasures through the Church History Library. (Discussed earlier.)
- A teaser article written by Doug (Ron’s son) about the maps and book he has recently discovered about mining in western Fife as a preview to the information being planned for presentation at this year’s reunion.
- It was mentioned by the board that we need to tell members of the family of the benefits of using the Church History Library as a place to safely store and digitize photos, books and family records so the whole family can have access to them as well as preserve them in the best way possible (discussed earlier in the minutes). It was suggested that someone familiar with giving family momentous to the Church History Library could write an article to the Ensign Magazine. Mary Ann had positive experiences with this and she would write the article.
Reunion Director’s Report: Doug (Lewis’ son)
- Doug was not present at the meeting but there was great deal of discussion about the reunion.
- Steve suggested an outline. This outline would only be suggestions, which would be given to Doug for him to make final decisions, as he is the reunion director
- Suggested Reunion Plan:
- Friday after 2:00p.m. – Check in
- Friday 6:00p.m. – Dinner
- Pot Luck would be a good way to go. We could take our chances and have everyone bring the whole meal or perhaps have the board bring meat dishes and the rest of the family bring salads and desserts.
- Friday Evening - Campfire program
- Mary Ann said she would lead the family in campfire songs. Others in the board suggested having short histories given during the campfire program and having “S’mores”.
- Saturday – 8:30 to 9:30 a.m. - Breakfast
- Saturday Morning – Business meeting
- Doug (Ron’s son) could present information about research the family is doing.
- Mary Ann could give a class from the “Temple and Family History” course she is teaching for the fourth time right now. Karolyn is taking the class in her ward and loves it. The DVD’s that go along with the course are very spiritual and helpful.
- Enid could make copies of histories of the 5 children or Archibald that the members of the family could take home with them.
- A treasure hunt could be made for the children with short clues and stories of the 5 children. At the end, a treat could be the final treasure in a large treasure chest. The main treasure, however, would be a better knowledge of their ancestors.
- Saturday Afternoon – Clean–up
- Saturday before 5:00p.m. – Check out
- Lunch wasn’t discussed. Will the family organization provide it or will each family provide their own?
- Heber Valley Camp has a ropes course, water activities (canoes and paddle boats, etc.) that would take a fair amount of time and are not within walking distance from the camp. We would have to plan time for all these activities.
- The board felt we shouldn’t over plan, but that we should make sure to take care of family business and encourage family history and temple work and unity within the family association.
